How To Create An Event that becomes the talk of the town...

Corporate events if planned correctly...can be not only cost effective but also help create new clients..Before any corporate event one MUST keep in mind the following :-

1. Venue Selection - The venue must be in accordance with the the total number of guests and also the weather so that it is spacious and guest - friendly.

2. Developing a Site Plan - A good site plan which includes a map of the venue and lists everything from seating area , stalls, washrooms and so on must be made and handed out to all members of the event management team for reference.

2. Light and Sound - Light and sound are the two most important factors of any event. Having a good source of power and installation of all equipments by a professional is extremely necessary .

3. First Aid - A first aid kit is a MUST at all events..depending on the size of the crowd..a group of paramedics should also be kept on standby. A list of nearby hospitals should be present with the event mangers.

4. License and Permissions - A list of all licenses like PPL , IPRS, Liquor and all necessary permissions must be taken. Copies of these must be with the head supervisor of the event management company so that it can be procured at any time.

5. Catering - A hygienic catering service should be hired to provide best quality food to the guests. A set of well trained stewards should also be kept in accordance with the crowd size and must be neatly dressed with good communication skills.

6. Risk Assessment - A good foresight of all the risks - natural or man made that can be involved must be made into a list alongwith their management and back up plan...

Generators are a passe, use invertors instead - For all your mobile van display activations we all need electricity for lights and sound on the move. We all have been using generators of various sizes to lit up the van and use sound etc.

The key problems using a generator are:

1) Generators occupy a lot of space in the vehicle, plus space for sound proofing and storing diesel for generator.
2) Either outright purchase or rentals the rates are on the higher side.

The Ideazfirst solution: -

1) We used the Tata 407 battery (plus one spare battery as backup) -> connected it using a SuKam inverter -> then connecting it to a extension cord for multiple power outputs. The truck battery used to get automatically charged by the dynamo inside the vehicle while moving.
2) At the end of the day, we disconnected the inverter from the battery, and charged the inverter using the power connection inside the hotel stay.

So, basically we never went out of power, inspite of being at the remotest village of West Bengal - so no hassles for locating a petrol pump for buying diesel etc + plus no noise of generators while announcements during the activation, and power was generated during the rains also.. We were doing a demo activity for Shrachi Power Tillers for the upcoming crop sowing season.

Are the above news looking familiar? Yes, because we read similar news almost every week in a newspaper or a magazine. But where is the retail space???

The retailing industry is witnessing a sea change….yes, the flashy shopping malls have already come up and more are coming up to cater the need…but the retail space acquisition costs are too steep, even for branded retailers to afford, followed by a very high recurring expense, i.e. mall maintenance fees, electricity, water, security fees etc So the closest alternative for retailers is to acquire retail space from the traditional retailers. And we see that lot of traditional retailers / entrepreneurs are frustrated with the influx of modern retail stores started by large business houses. Following trends are apparently visible: -

The traditional retailers or family owned retail stores (also known as Mom and Pop stores) are slowly disappearing from Kolkata (specially the stores which are located at key crossings and strategic locations). They are selling off or renting the retail space to brands which are vying for retail space. Two reasons associated with this: -

One of the main reason is they are unable to compete with the Big Bazaar / Food Bazaar / Spencers’ / Reliance Fresh format stores, where the daily FMCG goods are offered at special prices. The family stores cannot offer those prices as they get their goods from the local company distributor while the Pantaloon stores buy their goods directly from the company and have the distributor margin also to lure their customers. The family store margins are shrinking and the credit period is also increasing, hence the return on capital employed (ROCE) is not healthy.

The second reason is they are getting better rent ranging from Rs. 20,000 to Rs. 1,00,000 per month from the big retail brands like Vodafone, Airtel, Aircel (mobile shops), Axis Bank, ICICI Bank (Bank ATMs) and so on. (Depending on the space available and the value of that area). And they are unable to earn that amount working full time for their own venture. Recently a vegetarian restaurant was converted to a Vodafone store.

The retail stores which are not at strategic locations, are loosing, and the customer base is declining. In order to survive in this fiercely competitive market and keep up the revenue pace, they are now selling unrelated products / services like a grocery store selling mobile connections, collecting bill payments (as franchisee of billpay and other websites), and accepting couriers, offering photocopy services too.

Another trend is that even the manufacturing companies are buying retail space in order to make their presence felt. For example: SRMB Steel manufacturing iron rods and bars used for construction has opened a retail store in a prime location in Kolkata recently. Although, SRMB do not expect the engineers and architects to buy from that store, but they wanted a brand presence. Also, there is a huge clutter in outdoor and print advertising, that inspite of companies spending crores on hoardings and other advertisements their brands are not recalled by their target customers.

The suggested solutions

Value Added Services: - The retailers need to have a hard look on the financials, and the ones who are getting very good value as rent, and calculate that they will not be able to make such profits if they continue their retail store, then they should consider renting it out. While renting the space out they can propose to the corporates for manpower and other services to manage the retail space acquired by them. For example: - Generator services – Backup power in case of power failures, Sweeping and cleaning services, Security personnel services, Repairs and maintenance services and other management services. The traditional retailers can provide these services as a packaged deal when they sell their spaces, and hence remain busy with the service offerings.

Bank Finance – Various banks provide banking facilities and credit line to traditional or unorganized retailers in the country to keep them competitive and market their store properly. The traditional retailers should avail these financing options to upgrade their stores with air-conditioning, better visual display systems for the products, branding of the store, and automation of billing systems.

Additional services – For the traditional retails, most of them offer home deliveries and credit period for their loyal customers. They even know that what goods does the particular customer buy every week or month. But, the large format modern stores can offer everything of the above except the credit period.

Cost Effective Marketing – The retailers can consider going for free listings on the internet by adding their stores on Google Maps, and listing in local search engines like guruji.com, and various yellow pages online.

We hope the retailers at large would benefit from these strategies, if implemented properly.
